General Description:
 

The Senior Payment Associate will provide specialized support and assistance to the Clinical Business Operations department within the Clinical Site Payments function. This role involves close collaboration with investigative sites, the Clinical Operations team, the Clinical Site Contracts Management team, the Budget Development team, and site payment vendors. The position requires strong analytical and critical thinking skills to ensure accurate and timely site payments, along with effective management of the study portfolio through planning, execution, and tracking of global clinical trial payments.

Key Responsibilities:

  • Vendor Management: Oversee site payment vendors’ deliverables, ensuring accountability for services outlined in the Statement of Work (SOW).
  • Internalized Payments Management: Manage payments for countries serviced by BeOne. Responsibilities include configuring and setting up studies in the clinical platform, creating and maintaining Purchase Orders, and preparing monthly/quarterly forecasts to ensure accurate funding and balance. Address and manage inquiries from stakeholders to ensure timely and accurate payments to sites. Collaborate with internal BeOne departments to manage the lifecycle of invoices from submission by investigative sites to payment issuance by BeOne Accounts Payable and the provision of proof of payments.
  • Market Value Assessments: Maintain a solid understanding of Fair Market Value benchmarks and assessments to inform payment decisions.
  • Global Payments Management: Manage global payments and total study budgets, focusing on the assigned respective region while considering regional and country-specific payment rules and regulations.
  • Implementation Support: Assist in the implementation of the SOW and Change Order process, as well as related project costs when applicable.
  • R&D Support: Demonstrate experience in supporting R&D initiatives as they relate to Clinical Site Payments business operations.
  • Project Performance Monitoring: Assess project performance, monitor progress, identify and quantify variances, take necessary corrective actions, and communicate updates to stakeholders.
  • Discrepancy Resolution: Work collaboratively with third-party site payment vendors to resolve payment discrepancies, historical issues, and fulfill monthly reporting requests.
  • Payment Tracking: Track payments owed to clinical research sites per the negotiated unit price in each site’s contract.
  • Invoice Management: Monitor invoice aging and outstanding payments in real time, adhering to established departmental and company guidelines.
  • Risk Mitigation: Provide oversight on invoice and payment statuses, performing risk mitigation actions to proactively manage reviews, approvals, and payments.
  • Risk Identification: Collaborate with management to identify risks, develop mitigation strategies, propose alternative solutions, and follow up on action items with cross-functional teams.
  • Communication Alignment: Align with internal partners on invoice and payment discussions prior to engaging with external partners or investigative sites.
  • Stakeholder Engagement: Maintain regular communication with external partners and investigators, as well as internal departments, regarding payment activities throughout the study lifecycle.

Required Skills and Qualifications:

  • Financial Acumen:
    • Ability to perform predictive analysis using enterprise and departmental tools to forecast anticipated expenses.
    • Strong understanding of variance analysis related to budget versus actuals within site budget Purchase Orders.
    • Knowledge of Clinical Trial site budgets, contractual payment terms in executed Clinical Trial agreements, and their implications for payments to sites.
  • Business Acumen:
    • Proven ability to prioritize multiple tasks, plan proactively, and achieve goals with moderate guidance.
    • Strong project management and leadership skills with adaptability to meet deadlines and project requirements.
    • Professional interaction with all organizational levels across functional areas and global regions.
    • Capacity to complete tasks and projects with minimal supervision.
    • Demonstrated problem-solving abilities, critical thinking skills, and attention to detail.
    • Excellent verbal, written, and interpersonal communication skills.

Computer Skills:

Advanced knowledge Microsoft Office - Word, Excel, Power Point and MS Outlook; Smartsheet, SharePoint, MS Teams, and Power BI

Other Qualifications:   

Fluent in written and verbal English.

Excellent written and verbal communication skills and interpersonal relationship skills including relationship building and management skills.

Demonstrated problem-solving and critical thinking skills, root cause analysis, attention to detail, and performance of duties.

Prior experience in clinical operations, finance, or grant payment position

Travel: As Needed

Education Required: 

  • BA/BS from accredited college or university and 3+ yrs of industry experience or 4+ years in clinical research or

               pharmaceutical industry

Salary Range: $94,400.00 - $129,400.00 annually

BeOne is committed to fair and equitable compensation practices. Actual compensation packages are determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location. Packages may vary by location due to differences in the cost of labor. The recruiter can share more about the specific salary range for a preferred location during the hiring process.  Please note that the listed range reflects the base salary or hourly range only. Non-Commercial roles are eligible to participate in the annual bonus plan, and Commercial roles are eligible to participate in an incentive compensation plan.
