This description seeks to cover major ongoing assignments and requirements. Other tasks will come up and this person should feel comfortable to enthusiastically manage duties outside of this job description.
RESPONSIBILITIES
Provide as-needed personal and administrative support to two principals based in Washington, D.C.
Communication : serve as the primary liaison of the principals by frequently communicating with personal contacts, medical offices and insurance companies, business contacts, house contractors, drivers, and family members; relay information, get answers to questions, and proactively report back to principals with status updates
Calendar Management : coordinate a wide variety of appointments and events including doctor appointments, personal meetings, business meetings, lunches/ dinners, family gatherings and events; manage arrangements for meetings as required including working with caterers
Travel Arrangements : coordinate domestic and international flights, hotels, and ground transportation; travel can include extended family travel for 8+ individuals; create travel budgets, ensure all arrangements are confirmed, anticipate potential issues and prepare alternatives; track travel and remain accessible to resolve travel related issues
Email Management : fully manage Gmail inbox for principals, draft responses, proactively follow up with principals on urgent matters, independently respond on their behalf as needed
Technology Support : frequently utilize Gmail, Mac and PC, and Dropbox for files; update Dropbox with logins and the Outlook calendar daily with upcoming appointments
Administrative Support : manage any administrative functions including paper and digital filing, uploading documents, updating online subscriptions and managing any other online activities, drafting letters, closing the loop (making phone calls to follow up on emails to ensure the issue is resolved and then reporting back to principals)
Remain flexible to handle any other tasks as assigned
QUALIFICATIONS & CAPABILITIES
Computer Skills : technologically savvy with experience using Dropbox, Gmail, Mac and PC, and MS Office products; enjoys technology and learning new systems; able to make technological recommendations to improve operations but comfortable using existing systems as well
Administrative Expertise : expertise with calendar management, travel arrangements, and communicating clearly on behalf of an executive or team
Proactive and Accountable : ability to anticipate needs and proactively take action without being asked
Attention to Detail : a list maker who takes great notes and enjoys the task-manager role where you check things off the daily and weekly list; meticulous attention to detail and catches things that others may miss
Communication : outstanding written and verbal communication skills
Judgement : strong independent thinking skills, awareness, knows when to act and when to ask
Confidentiality and Discretion : you will have access to highly confidential information and must always maintain the strictest confidentiality
Flexibility & Availability : adaptable to changing priorities and shifting projects, able to coordinate late notice shifts to the principal’s schedule; adaptable to shifting work schedules and occasional after-hours and weekend requests; understands the working hours listed above
Location : lives in Washington, DC (or within a close distance) and enjoys working onsite twice per week
