Job Description

The Logistics Coordinator plays a key role in supporting the operations of the Facilities, Logistics, and Tech (FLT) team by ensuring smooth and efficient coordination of deliveries, vehicle usage, and work order tracking. This position is responsible for managing and communicating the logistics of catering deliveries, company vehicle use, and maintenance tasks across teams. The ideal candidate is highly organized, a strong communicator, and capable of managing multiple tasks in a dynamic environment.

Specific Job Tasks Include

Delivery Coordination & Driving:

  • Schedule, coordinate, and track catering deliveries for internal and external events.
  • Ensure timely preparation, loading, and delivery execution.
  • Serve as primary driver for catering deliveries with back-up from other members of FLT.

Vehicle Logistics

  • Maintain a calendar or system to schedule company vehicle use.
  • Coordinate who is driving, where, and when, ensuring all logistics are documented.
  • Monitor vehicle availability, maintenance schedules, and usage records.
  • Serve as primary driver of company vehicles with back-up from other members of FLT.

Work Order Management

  • Log, track, and prioritize work orders for the FLT department.
  • Coordinate with internal teams and vendors to ensure timely completion.
  • Provide regular updates on the status of work orders to relevant stakeholders.
  • Collaborate with other FLT Team members to implement preventative maintenance schedules for general equipment and facilities.

Communication & Collaboration:

  • Serve as the main point of contact between FLT and other departments for logistics-related updates.
  • Maintain clear and timely communication regarding changes or updates to deliveries, schedules, or work orders.

Operational Support

  • Manage inventory and transport items between facilities as needed.
  • Assist with general administrative tasks as needed.
  • Participate in logistics planning for company events and projects.
  • Assist as needed with onsite and offsite special events such as Summerfest, Bastille Days, Harley Davidson Homecoming, etc.
  • Attend meetings as needed.
  • Perform other tasks as needed by the Director of FLT.

Job Location

This position is classified as an On-site Employee. Per the Remote Work for Exempt Employees Policy in the Bars & Rec Employee Handbook, On-site Employees are expected to work onsite on a regular basis. The Logistics Coordinator may work out of 1117 S 2nd St, any of the operational facilities, any future sites, and/or any offsite locations. As such, the Logistics Coordinator should plan to be mobile and move around as needed.

Supervisor

This job reports directly to the Director of Facilities, Logistics, and Tech.

Time Commitment

The Logistics Coordinator is expected to work at least 30 hours per week on an hourly basis, up to 40 hours per week. Overtime is permitted in rare, pre-approved circumstances, but is not encouraged. Hours may be needed during daytime, evening, and weekend times depending on meetings, special events and business needs. Hours will be scheduled by the Director of FLT.

Compensation

Hourly rate based on experience; $20.00-$25.00/hr, plus a comprehensive benefits package including:

Application Requirements

  • Must be at least 25 years old.
  • Must have a high school diploma or GED.
  • Must have a valid driver's license with a clean driving record.
  • Must not have any traffic violations in the last two years.
    • Must not have been convicted of any offense related to operating a motor vehicle while intoxicated.
    • Must have a smartphone with navigation technology and know how to use it safely.
    • Must be comfortable driving company vehicles, including trailers.
  • Must be able to provide proof of personal vehicle insurance with policy meeting the following minimum coverage requirements:
    • $100,000 per occurrence
    • $300,000 aggregate
  • Must have excellent organizational and time management skills.
  • Must have strong verbal and written communication abilities.
  • Must be proficient in Microsoft Office Suite (Word, Excel); experience with Microsoft Teams preferred.
  • Must be able to raise or lower objects more than 50 lbs. from one level to another (includes upward pulling).
  • Must be able to climb stairs and regularly bend, stoop, and crouch.
  • Must be able to spend up to 100% of working time standing, walking, and moving around the facilities.
  • Must have open availability and be able to work days, nights, and weekends.
  • Must be able to work while standing for 6-8 hours at a time.
  • Must be able to read, understand, and follow written safety instructions and written delivery instructions.
  • Must have (or be willing to obtain) personal transportation and a personal cell phone.
  • Must be able to read, understand, and follow the Bars & Recreation Employee Handbook.
