Full-Time Executive Assistant - Temple Department

Job Description
The Executive assistant performs a wide variety of advanced and confidential duties requiring broad and comprehensive experience as well as skill and knowledge of the organization’s policies and practices. General responsibilities include tasks related to administrative support, project management, writing/editing, and personal assistance.
Responsibilities

Work independently with general supervision and some autonomy.
-
Work duties range up to complex in nature, requiring a high degree of professional communication, discretion, and problem-solving skills.

Require making moderately complex non-routine decisions using initiative, originality, ingenuity, and sound judgment to resolve diverse and complex issues and requests in a proactive way.

May assist with preparations for Executive Council meetings as needed.

Serve as backup support for other staff.

Coordinates programs, projects, and/or processes specific to assignment or leader being supported following up on project details and activities and ensuring that deadlines are met.

Screens telephone calls, written correspondence, and visitors and resolve routine and complex inquiries.

Maintains and updates calendars, schedules and coordinates meetings, and makes travel arrangements.

Prepares and distributes minutes of meetings.

Assists in the organization of large group events.

Provides support within an environment of strict confidentiality.

May administer internal and external purchasing, deposits, and other financial matters
-
May assist in budget preparation and control activities including monitoring project or department budgets and keeping management appraised of budgetary status.

Lead and train admin staff as needed.
Qualifications
Required:
-
Bachelor’s Degree and 3+ years related experience, or any combination of equivalent education and related experience totaling at least 7 years.

Advanced communication skills both verbally and in writing

Advanced research, analytical, and data summation abilities
-
Advanced experience with Microsoft Office software especially Word, Excel, PowerPoint, and Outlook

Ability to work with sensitive and highly confidential information

Strong independent analysis and good judgment
-
Broad knowledge of the organization's structure, functions, and key personnel
-
Working knowledge of Church doctrine, policies, and procedures.

To successfully perform the essential functions of the job there may be physical requirements which need to be met such as sitting for long periods of time, moving about to the office to deliver mail and other items, and using computer monitors/equipment.
