Job Title: Project Manager, Executive Meetings & Content Operations

Location: Remote

Contract: Through 2/26


Reports to: Head of Executive Content & Keynotes


Are you the go-to person for keeping projects on track and ensuring executives are where they need to be, when they need to be there, with the right support to succeed? A high-performing Global Events team is looking for an exceptionally organized, energetic, and proactive Project Manager to orchestrate executive meetings, communications, and content operations across a global calendar of high-visibility events.


This isn’t just project management—you’ll be the linchpin between creative, operational, and executive teams. Your strength lies in navigating the personalities and processes of a complex, matrixed organization. You’ll keep priorities aligned, manage deadlines with precision, and make sure every stakeholder, asset, and meeting is exactly where it needs to be.


What You’ll Do

Executive Meeting Management

  • Schedule and manage executive meetings, speaker prep sessions, and cross-team syncs
  • Balance complex calendars and resolve scheduling conflicts
  • Ensure executives have logistics, materials, and support required for impactful engagements

Global Stakeholder Alignment

  • Serve as the communication hub between product, marketing, regional, and executive teams
  • Lead regular status meetings with clear agendas and follow-up action items
  • Persistently follow up on late inputs, track outstanding approvals, and chase unanswered emails

Project & Deadline Management

  • Support projects in Wrike (or similar tools), ensuring deliverables and dependencies are tracked
  • Monitor timelines, task ownership, and risks to prevent missed deadlines
  • Maintain real-time dashboards and reports; escalate blockers early

Content & Asset Coordination

  • Oversee intake, routing, and approval of presentations, videos, briefing docs, and customer stories
  • Manage version control and last-minute updates across assets
  • Consolidate feedback and drive final approvals with creative teams and executives

Event Execution Support

  • Partner with production teams to ensure scripts, clickthroughs, and onstage materials are ready
  • Join onsite as needed to support executive speakers, manage live changes, and resolve issues quickly


What You’ll Bring

  • 5–7+ years managing complex projects, executive communications, or cross-team operations (marketing/events experience preferred)
  • Strong people skills with the ability to coordinate across multiple stakeholders
  • Experience booking executive meetings, managing multiple calendars, and balancing priorities under pressure
  • Excellent written and verbal communication skills, with a talent for clarifying complex situations
  • Extreme attention to detail and follow-through on deliverables
  • Ability to work effectively across multiple time zones and cultures
  • Familiarity with Wrike or similar project management platforms
  • Comfort with ambiguity and a drive to bring order and accountability
