Program Overview
East Williamsburg Men’s Shelter is an emergency men’s shelter which helps 55-140 individuals with substance abuse histories work towards health, sobriety, and, ultimately, permanent housing and employment. In addition to lodging and three meals a day, clients receive comprehensive case management services.
Position Overview
Under the direction of the Shelter Director, the Administrative Assistant is responsible for performing a myriad of administrative duties to assist the Shelter Director in the achievement of the goals and objectives of the program; performs related work. The Administrative Assistant provides administrative support to program staff personnel.
Essential Duties & Responsibilities
The essential duties of the Administrative Assistant include but are not limited to the following activities:

Provides secretarial support to the Director and staff by maintaining calendars; drafting correspondence for the Director; and doing follow ups as needed.

Assists the Director with a myriad of administrative functions including payroll and e-time issues and performs liaison functions with the Payroll Supervisor to ensure that staff is paid properly.

Assists new employees arriving at the Shelter by making sure they are on the systems, email, e-time, getting their required swipe card is aware of certain office protocols relating to time and leave issues.

Serves as liaison with the Finance Department regarding petty cash reimbursements to staff for small items approved for purchases and processing fees as well as other issues, such as getting checks for specials events, and making payments to vendors for various purchases.

Manages and updates the EXCEL tracking system for monitoring the budget of the shelter, alerts the Shelter Director of any issues and responds to questions/issues raised by the staff in the Deputy Director’s Office.

Attends scheduled meetings, and prepares minutes of the meeting, including required follow-up actions. Shares the minutes with appropriate staff.

Keeps records and assists staff in updating the client data summary sheets used for weekly/monthly meetings.

Maintains an updated filing system so files can be easily retrieved and ensures that record keeping criteria are followed.

Manages local personnel records to ensure the confidentiality of the information is preserved.

Performs other duties as assigned by the Shelter Director.
Education Requirements
Associate degree or higher.
Experience Requirements
A minimum of at least two years of administrative or secretarial experience working in a private or non-profit organization or government agency.
Required Skills
Communication: Ability to communicate effectively both orally and in writing with all levels of staff, and on occasion with the clients.
Organization: Ability to set priorities with the daily assignments and to meet the deadlines and target submission dates established by the Director.
Computer: Must be proficient in Microsoft Office Suite, especially e-mail and EXCEL.
