Job Description
BAE Systems is hiring an Administrative Assistant to support our Weapon Systems Supply Chain onsite in Louisville. This candidate will under limited supervision, perform a variety of complex administrative duties for the Supply Chain Team as well as other functions located in W-building.
Act as an information source on organizational policies and procedures; gather, compile, and report information relevant to a given assignment; plan functions; administer organizational correspondence control; and provide assistance to department members.
This position is part of our newly created Integrated Operations Supply Chain Team and would be ideal for a person with great interpersonal skills and can-do attitude.
In this position, you will be supporting the Weapon Systems business full-time, onsite in Louisville, KY.
Primary Duties And Responsibilities

Compiles, reviews and analyzes Supply Chain relevant data

Uses software for functional area to compile and generate reports

Creates correspondence and presentations

May design or improve processes to enhance workflow

Order and maintain office supplies

Calendar/Outlook management for Director

Assist with travel bookings and expense reports

Assist other administrative personnel as needed

Set up meetings, take notes and action items

Plan, execute and facilitate various activities and events onsite and offsite

Work with BAE Systems Compliance to execute PIA/NDA with suppliers

Effectively collaborate and communicate with key stakeholders

Maintains a safe work environment and ensures compliance with safety objectives and policies.
Required Education, Experience, & Skills

4 Years with HS/GED

2 Years with AA

0 Years with BS
Experience in Administrative Assistance
Experience in Calendar Management, Meeting/Event Scheduling, and Travel Coordination
Experience In SharePoint Or Other Enterprise Data Management Systems
Ability to make decisions using sound judgment while complying with policies, procedures, appropriate principles and applicable state and federal laws and regulations
Excellent Communication, Relationship Management, and Interpersonal skills, capable of collaborating across different functions and departments
Strong Business and Financial Acumen
Proficiency MS Office Suite (Word, Excel, PowerPoint)
Ability to manage, organize, and structure data to support reporting needs
Ability to integrate information from a variety of sources into correspondence, presentation materials, or reports
Ability to interact effectively with personnel at all levels, inside and outside of the organization
Proficiency with word processing, presentation, spreadsheet, database, email, and calendar software
Preferred Education, Experience, & Skills

Experience in the Defense/Contracting industry

Pay Information
Full-Time Salary Range: $56554 - $90487
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
