Job Description

Positions in this class are characterized by their performance of a variety of administrative, clerical and office support and program operations. Position requires knowledge of the office work unit policies and procedures in order to communicate information involving programs, functions and services. Duties performed include preparation of documents and reports, composition of memos and letters, the use of office technology and equipment systems, compiling records, organizing and maintaining files, posting information, greeting, referring, assisting visitors, clients, staff and others, mail distribution and photocopying. This position may serve as the primary staff assistant to a department or program manager. It may also serve as an office coordinator for a work unit.

Records, Reports, Office equipment, Files: This employee is responsible for keeping the department’s organizational chart updated and forwarding a current copy to Human Resources annually. When employees resign, are terminated, go on leave without pay, Family Medical Leave, or retire this employee completes all forms and timesheets and forwards to Human Resources. Employees are responsible for typing all, memorandums, letters, job schedules, Exit Interview forms, scheduled / unscheduled time forms, monitoring forms, job postings, annual leave reports, written warnings, etc. This employee is responsible for maintaining files consisting of the above along with in-service training records, disciplinary actions, etc. Information is accessed from the files by this employee for utilization by the Director of Housekeeping and other supervisors. Mail is picked up from the administration building, sorted, and deposited into each supervisor’s box. All incoming e-mail is printed as appropriate and distributed. This employee is responsible for maintaining an ample inventory of office supplies as well as report forms necessary for the operation of the department, these items are distributed as requested. This employee processes supply orders in the ordering system. This employee is responsible for submitting work order requests using The Worx Hub work order request system. This employee further assists with the accounting portion of the Treasure Shop’s annual inventory. This employee composes memos for distribution to the Housekeeping Supervisors following instructions from the Director of Housekeeping in reference to content. This employee composes letters for the housekeeping director to be sent to employees on Personnel matters and proofreads all documents for spelling and punctuation and frequently revises passages for correct format and grammar.

Public Contact

In the absence of the Director, this employee works with Housekeeping Supervisor I & II’s in handling situations that arise concerning housekeeping matters. In the area of receptionist, this employee handles phone calls daily from housekeeping supervisors and staff, and from various other staff throughout the facility. These calls are often in reference to timekeeping matters, requests for work orders or exterminator services. Personal contact is made daily with housekeeping staff, maintenance staff, warehouse staff and various other facility staff who may bring consumers to the Treasure Shop area. Personal contacts are made with vendors and salesmen. Public contact further occurs when this employee arranges interviews for vacant positions within the Housekeeping Department.

Salary Grade NC02; Recruitment Range $31,200.00 - $49,340.00
